One-off Tasks

Tasks that run once and are complete

Unlike Recurring Tasks, which run automatically on a schedule or trigger, One-Off Tasks are created when you need your assistant to perform a specific action, research request, reminder, scheduling task, or workflow.

Common One-Off Tasks

Your assistant can perform a wide variety of tasks, including:


Scheduling

  • Schedule a new meeting

  • Reschedule an existing meeting

  • Find available meeting times

  • Create calendar events

Calendar Assistance

  • Check availability

  • Review your schedule

  • Identify scheduling conflicts

  • Summarize upcoming meetings

Reminders

  • Remind yourself about something in the future

  • Remind another person about something in the future

  • Send scheduled follow-ups

  • Deliver notifications at a specific date and time

Research & Analysis

  • Research a company

  • Research a person before a meeting

  • Gather information on a topic

  • Create summaries and reports

Content & Document Creation

  • Create spreadsheets

  • Generate reports

  • Draft emails

  • Create presentations

  • Produce documents and templates

Workflow Automation

  • Update connected systems

  • Create CRM records

  • Create or update tasks in project management tools

  • Perform actions using connected integrations

Creating a One-Off Task

You can create a new task in several ways:

Dashboard Chat

Open your assistant and describe what you would like it to do.

Email

Send an email to your assistant describing the task.

New Task Button

Navigate to the In-Progress tab and click New Task.


The In Progress tab also contains example tasks that can help you understand the types of work your assistant can perform.

Describing Your Task

For best results, provide as much detail as possible.

Include:

  • What you want accomplished

  • Relevant context

  • Required inputs

  • Desired output format

  • Who should receive the results

Example

Instead of: Research Acme Corp.


Try: Research Acme Corp., summarize their business model, recent funding history, leadership team, and competitive landscape. Create a spreadsheet and email the results to me, Jim Downy, and Beth Landers.

The more specific the request, the better your assistant can execute it.


Receiving Results

Once a task is created, it appears in your task list and begins processing. You will be notified when the task is completed.

Depending on the task, results may be:

  • Displayed directly in the task

  • Sent via email

  • Shared with other recipients

  • Delivered to connected applications

If you want results delivered in a specific way, include that in your instructions.

Examples:

  • "Email the spreadsheet to me when complete."

  • "Post the summary in Slack."

  • "Email both me and the customer."

Collaborating With Your Assistant

Tasks are interactive. If your assistant needs clarification, additional information, or approval, it can communicate with you directly within the task. The task remains active until the work is completed.


Connected Applications

Tasks can use connected applications and integrations when needed. Examples include:

  • CRM systems

  • Project management tools

  • Calendar platforms

  • Email systems

Best Practices

To get the best results:

  • Be specific about the outcome you want.

  • Specify who should receive the results.

  • Tell the assistant what format you prefer.

  • Provide relevant context.

Clear instructions help your assistant complete tasks more accurately and with fewer follow-up questions.
