Coordinator Mode

Use a Skej assistant on behalf of a another person

Coordinator Mode allows an assistant, executive assistant (EA), coordinator, or other scheduling professional to use Skej on behalf of another person (the Principal).

When Coordinator Mode is enabled, Skej uses the Principal's calendar, availability, scheduling preferences, and meeting settings rather than the coordinator's.

Prerequisites

Before setting up Coordinator Mode, the Principal must share their calendar with the coordinator.

Google Calendar

The Principal should:

  1. Open Google Calendar.

  2. Navigate to Settings → Share with specific people.

  3. Add the coordinator's email address.

  4. Grant either:

    • Make changes to events (recommended), or

    • Make changes and manage sharing.

Microsoft Outlook

The Principal should:

  1. Open Outlook Calendar.

  2. Open Sharing and Permissions.

  3. Add the coordinator's email address.

  4. Grant Editor or Delegate permissions.

The coordinator must be able to view availability and create or modify calendar events on behalf of the Principal.

Setup

Step 1: Open Coordinator Settings

Navigate to:

app.skej.com/coordinator

Step 2: Add a Principal

Enter:

  • Principal email address

  • First name

  • Last name

Step 3: Verify Access

Skej sends a verification email to the Principal.

The Principal must approve the request by clicking the verification link. The status will show as pending until the approval is verified.

Once approved, the coordinator can manage scheduling for that Principal.

Configure Scheduling Settings

Coordinator Mode allows you to configure scheduling preferences for each Principal.

Available settings include:

  • Time zone

  • Working hours

  • Meeting duration defaults

  • Scheduling buffers

  • Calendars used for conflict detection

  • Calendar where new events should be created

Manual Approval

Your assistant drafts everything and waits for your go-ahead before sending or booking

Autonomous

Your assistant takes action immediately without waiting for your review.

Thread Inclusion

Supervised

You're always included on emails and messages your assistant sends.

Semi-Supervised

Your assistant keeps you on threads you're already part of, but won't add you to new ones unless needed.

Unsupervised

Your assistant handles things independently. You get a BCC on the first email, then stay off to spare your inbox.

Autonomous

Skej can coordinate meetings without approval and manage scheduling conversations independently.

Visibility

Choose how the coordinator is included in scheduling conversations:

CC

You're visibly included. Recipients can see you on the thread.

BCC

You're silently copied. Recipients don't see you.

Using Coordinator Mode

Once Coordinator Mode is configured, Skej automatically acts on behalf of the Principal.

Availability Requests

Availability is checked against the Principal's calendar.

Scheduling Meetings

Skej can:

  • Propose meeting times

  • Coordinate attendees

  • Create calendar events

  • Handle scheduling conflicts

Rescheduling or Modifying Meetings

Skej can update or reschedule existing meetings using the Principal's calendar and scheduling rules.

Using Skej in Email

Existing Threads

If the Principal includes you on an email and asks you to coordinate a meeting, add your Skej assistant to the conversation. Skej will manage the scheduling process on behalf of the Principal.

New Threads

When sending a new email on behalf of a Principal, include your Skej assistant on the thread. Skej automatically recognizes the associated Principal and coordinates scheduling using that Principal's calendar and preferences.

How Skej Determines Availability

When operating in Coordinator Mode, Skej:

  • Checks the Principal's calendar for availability

  • Uses the Principal's scheduling preferences

  • Creates events on the configured Principal calendar

  • Handles scheduling and rescheduling on behalf of the Principal

The coordinator remains in control of configuration, supervision, and visibility settings.
